Month-end close with agents that never move money

Document chasing, categorisation and reconciliation mapped into an agent pilot where the bookkeeper reviews exceptions and every filing or payment stays human.

01

Situation

A growing bookkeeping practice loses days each month chasing client documents, categorising transactions and reconciling accounts, while the work that needs judgement waits for the end of the month.

02

Approach

Discovery started with a structured questionnaire and a timed sample of recent client closes. The candidate workflows were scored by repeatability, value and risk. The proposed pilot pairs a document-request agent, a categorisation agent that proposes but never posts, and a reconciliation analyst that flags exceptions, with automated balance checks beside each step. Filing returns, moving money and changing payroll are never automated.

03

Outcome

Success is defined before the build starts: days to close, exceptions caught before review, and client follow-ups sent on time, measured against today’s baseline in a fixed-length pilot.
